Privacy Policy

1. Introduction

Intellaflow ("we," "our," or "us") is a product of LS Tech. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered meeting intelligence platform at intellaflow.ai and any associated services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this policy, please do not access or use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Name and email address (via Google OAuth)
  • Profile picture URL
  • Workspace and organization information you create within Intellaflow

2.2 Meeting Data

When you connect your Google account, we access and process:

  • Google Calendar event details (title, time, participants, description)
  • Google Meet transcript documents stored in your Google Drive
  • Meeting participant email addresses

2.3 Integration Data

When you connect third-party services, we store:

  • OAuth access tokens and refresh tokens (encrypted at rest)
  • Integration-specific identifiers (workspace IDs, team IDs)
  • Content you explicitly interact with through integrations (Notion pages, Slack messages sent by Intellaflow, Linear issues, etc.)

2.4 AI-Generated Data

Our AI processes your meeting data to generate:

  • Meeting summaries and analysis
  • Action items and task extraction
  • Semantic embeddings for search (vector representations of your content)
  • Structured outputs (documents, SOPs, reports)

2.5 Chat Data

Messages you send to the Intellaflow AI assistant (via dashboard or Slack) are stored to provide conversation context and improve response quality.

2.6 Usage Data

We collect anonymized usage metrics including:

  • AI model usage (tokens consumed, latency, task types)
  • Feature usage patterns
  • Error logs for debugging and service improvement

3. How We Use Your Information

We use the collected information to:

  • Provide, operate, and maintain the Service
  • Process meeting transcripts and generate AI analysis
  • Create and manage tasks extracted from your meetings
  • Enable semantic search across your meeting history
  • Power the AI chatbot with relevant context from your workspace
  • Route meeting outputs to connected integrations (Slack, Notion, Linear, etc.)
  • Send notifications about meeting processing status and task updates
  • Monitor usage for billing and rate limiting purposes
  • Improve and optimize the Service

4. Third-Party Services

Intellaflow integrates with the following categories of third-party services:

4.1 AI Providers

Your meeting data is sent to AI providers (Anthropic, OpenAI, Google AI, Mistral) for analysis, summarization, and embedding generation. These providers process data according to their own privacy policies and data processing agreements. We do not send your data for model training purposes.

4.2 Connected Integrations

When you connect services like Google Workspace, Slack, Notion, Linear, Asana, HubSpot, or Salesforce, data flows between Intellaflow and those services as directed by you. Each integration only accesses data within the scopes you authorize during the OAuth connection process. You can disconnect any integration at any time from the Settings page.

4.3 Infrastructure

We use Supabase (PostgreSQL database, authentication, storage) and Vercel (hosting, serverless functions) to operate the Service. Your data is stored in Supabase's infrastructure with row-level security enabled on all tables.

5. Data Storage and Security

  • All data is stored in Supabase PostgreSQL with row-level security (RLS) policies ensuring users can only access their own workspace data
  • OAuth tokens and API keys are encrypted using AES-256-GCM encryption at rest
  • All data transmission uses TLS/HTTPS encryption in transit
  • Semantic embeddings (vector representations) are stored in PostgreSQL with pgvector and are not reversible to original text
  • We do not store your Google account password — authentication is handled entirely through Google OAuth

6. Data Retention

We retain your data for as long as your account is active. Meeting data, tasks, chat history, and AI-generated content persist until you explicitly delete them or delete your account.

When you disconnect an integration, we retain historical data that was already processed (meeting summaries, tasks created) but stop fetching new data from that integration. OAuth tokens are deleted immediately upon disconnection.

7. Your Rights

You have the right to:

  • Access — View all data stored about you within the Intellaflow dashboard
  • Correct — Edit your profile, tasks, and workspace information
  • Delete — Delete individual meetings, tasks, chat history, or your entire account
  • Disconnect — Remove any connected integration at any time from Settings
  • Export — Request a copy of your data by contacting us
  • Revoke — Revoke Intellaflow's access to Google, Notion, Slack, or any other connected service directly from that service's settings

8. BYOK (Bring Your Own Key)

Intellaflow offers a Bring Your Own Key feature where you can provide your own API keys for AI providers. When using BYOK, your data is sent directly to the AI provider using your key. We encrypt your API keys using AES-256-GCM and never expose them in plaintext after initial entry. Usage with your own keys is tracked separately and labeled as "byok" in usage reports.

9. Children's Privacy

The Service is not directed to individuals under 16. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 16, we will take steps to delete such information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
